Minutes from the Annual Minutes held at The Keystone International Livestock Exposition

Harrisburg, PA

 

President Kenrick Smith welcomed everyone to the meeting as well as congratulated everyone on the great show that we just had.  Special Congratulations went out to all those who won all the special awards.  Grand Champion Ram went to Courtney Fitzpatrick, Wayland, NY, Reserve Champion Ram went to Steve & Terry Mendenhall, Loma Rica, CA Champion Ewe went to Courtney Fitzpatrick, Wayland, NY, Reserve Champion Ewe went to Kenrick Smith, Jeromesville, OH.  Premier Breeder and Premier Exhibitor was won by Kenrick Smith, Jeromesville, OH.  Best Fleeced Animal went to Steve & Terry Mendenhall, Loma Rica, CA.  They received the beautiful hand carved rotating trophy that was donated by an anonymous donor.  Kathy Smith, Ashland, OH won the Wool Show and also won the $50 extra premium that the Association pays when a Merino Fleece wins the show.  In the Junior Show,  Champion Ram went  to Courtney Fitzpatrick, Wayland, NY and the Reserve Champion Ram to K C Scott, Pulaski, PA.  Champion and Reserve Champion Ewe went to Courtney Fitzpatrick, Wayland, NY.  Jr. Showmanship was won by Courtney Fitzpatrick, Wayland, NY.

 

Old Business

First order of business was to approve the Minutes from 2008.  Motion was made by Steve Mendenhall to accept the minutes which was seconded by Ken Scott.  Motion carried.

 

New Business

The Financial Statement was passed out and Jeff Traver made a motion to approve the financial report.  Seconded by Terry Mendenhall.  Motion passed.  We currently have a balance on hand of $466.60.

 

Election of Officers

A motion was made by Ken Scott to retain Deb Caryl and Terry Mendenhall for their second term as Board of Directors.  This was seconded by Jeff Traver,.  Motion passed.  

 

Historian – Ken Scott made a motion to retain Jeff Traver as our Historian, seconded by Terry Mendenhall.  Motion passed.

 

Public Relations – Ken Scott made a motion to retain Tom Colyer as PR, seconded by Terry Mendenhall.  Motion passed. Congratulations to both Jeff and Tom.  They will both do a fine job.

 

The question arose again about transfers on sheep that the paper work is being sent back to the seller and not being forwarded on to the new owners.  The secretary will check again with the registrar’s office about this and ask them to please forward all transfers on to the new owners.  It seems that some are getting forwarded to the new owners and some are getting mailed back to the sellers.  Also, if there is a problem regarding paperwork sent in to have the registrar either e-mail or call the individual to discuss the problem (EX: not enough money, error on paper work, etc.) 

 

The Directories were discussed as to how expensive they are to print and maintain.  After discussion it was decided that we should only list those that are actively registering animals.  The secretary will redo the list and resubmit it to the Board of Directors for the proper format approval.

 

Junior Show discussion:  We only had 3 participants in the Junior Show.  The association will send checks for the pay scale difference since we are not sponsoring the Junior Show through KILE.  Jeff Traver made a motion that instead of paying the $200 sponsor fee to KILE for the Junior Show that the Association will pay the difference on the pay scale to the participants.  Seconded by Dan Fitzpatrick.  Motion carried.   Secretary's note:  This should be reviewed on a yearly basis.

 

Due to low cash flow the next National Merino Show will be put on hold!  Ken Scott made a motion to postpone the National Show for 2010.  Jeff Traver seconded the notion.  Motion carried.  We will not be sponsoring any show next year due to the low cash flow.  There was discussion of possible holding the next National Show in 2011 at San Diego, CA.  Steve and Terry Mendenhall are working with the Fair Board and the Fair Board have indicated that they are willing to put in extra monies on the premiums.

 

Historian Jeff Traver has announced that we have acquired Volume 1-6 on our flock books through ebay.  We still need Vol. 7-9.  We are still missing some of the minutes from the 1950-1960's.

 

The cost of mailing the minutes to everyone on the membership list is very expensive and we need to look at all ways to cut costs.  After a lengthy discussion a motion was made by Dan Fitzpatrick.  We are giving notice to all members that this will be the last printed mailing sent out to all on the membership list as a cost savings.  You can read it on our web site or you can receive it by e-mail.  If you do not have access to these, you must notify the secretary and she will send you a hard copy via USPS.  Seconded by Terry Mendenhall.  Motion carried.  Secretary note:  Please send us your e-mail address if we don't already have it!

 

Steve Mendenhall made a motion to close the meeting. Seconded by Ken Scott.  Meeting adjourned.

BOARD OF DIRECTORS MEETING 

 

First order of business was to hire the Secretary.  Terry Mendenhall made a motion to hire Connie King as the Secretary, seconded by Ken Scott.  Motion passed.

 

There was no other business.

 

Ken Scott made a motion to adjourn the meeting, seconded by Dan Fitzpatrick.  Meeting adjourned.
